Reservations, Deposits & Other Policies

The Art Center is a smoke-free building. Smoking is prohibited by law on any grounds not specified as designated smoking areas.  Patrons are allowed to smoke in the parking lot or on the side of the building closest to Young Arena ONLY.

 WCA has the right to cancel this agreement for good cause, which shall be defined as non-payment by client or refusal of Client to communicate with WCA.  If a cancellation occurs or if the client decides to cancel on their own accord, the client shall forfeit all prepaid fees and deposits and any additional cost incurred by WCA associated with the event.  If the Client decides to cancel said event on their own accord within less than 30 days of said event, the Client will, in addition to forfeiting any deposits or prepayments, also be liable for any remaining rental fee balance due. This agreement may not be canceled for the purpose of WCA to book a different event for the same date and space.

A 50% NON-REFUNDABLE deposit is required upon signing a contract to secure a space.

No alcoholic beverages will be allowed on or around premises before, during or after the event unless purchased through RAI/WCA.

The Waterloo Center for the Arts is an art center and works of art are regularly displayed throughout the building, including rental spaces. Client is not allowed to touch, handle or remove artwork, or engage in activities which might be expected to result in damage to said art or permit anything to be done to damage, injure, mar or deface the property of the WCA Building and surrounding grounds.
There is absolutely no tape allowed for decorative purposes. Putty is permissible. The Center does not supply these materials.
Client agrees to carry a minimum of $1 million dollars general liability insurance policy, naming RAI and the City of Waterloo additionally insured.

There are no animals other than service animals allowed in the art center.
